You can check the folder size, by clicking <strong>View Deleted Items<\/strong> <strong>Size <\/strong>and <strong>Empty <\/strong>the <em>Deleted Items Folder<\/em>. Doing so will ensure that unwanted messages aren\u2019t saved in the Outlook data file.<\/li>\n<\/ul>\n<p><strong><em>Note:<\/em><\/strong><em> You can also empty the \u2018Deleted Items Folder\u2019 by clicking Tools (or Cleanup Tools), and selecting the \u2018Empty Deleted Items Folder\u2019 option.<\/em><\/p>\n<ul>\n<li>View Conflicts <strong>Size<\/strong>, and click <strong>Delete<\/strong> to empty the Conflicts folder. Emptying this folder will remove any alternate version of your mailbox folder items.<\/li>\n<\/ul>\n<strong><u>Method 2 \u2013 Archive Outlook Data File<\/u><\/strong>  \n \n<p>You can keep the size of your Outlook folders under control by moving older items (you may want to use in the future) in an archive.<\/p>\n<p>You can archive an OST file, by creating a new PST file and dragging and dropping the OST file folders into the new file.<\/p>\n<p>You can automatically archive a PST file by using the \u2018AutoArchive\u2019 feature, and here\u2019s how:<\/p>\n<p><strong>Step 1:<\/strong> From your Outlook account, click <strong>File<\/strong> &gt; <strong>Options<\/strong>.<\/p>\n<p><strong>Step 2:<\/strong> In the <strong>Outlook Options<\/strong> window, click <strong>Advanced<\/strong>, and then click <strong>AutoArchiveSettings<\/strong> under \u2018AutoArchive\u2019.<\/p>\n<div class=\"wp-block-image\"><figure class=\"aligncenter size-large\"><img decoding=\"async\" src=\"https:\/\/www.stellarservertools.com\/blog\/wp-content\/uploads\/2020\/06\/advanced-option-to-archive-OST-file.png\" alt=\"Outlook Archive Settings\" class=\"wp-image-1616\"\/> <figcaption>Figure 3 &#8211; Outlook Archive Settings<\/figcaption> <\/figure><\/div>\n<p><strong>Step 3:<\/strong> In the <strong>AutoArchive<\/strong> window, do the following:<\/p>\n<ul>\n<li>Check the \u2018<em>Run AutoArchive every n days<\/em>\u2019 box, and then specify the number of days for which you want to run AutoArchive.<\/li>\n<li>You can also choose other options to archive mailbox folders. Next, browse and select the file to \u2018move old items to\u2019.<\/li>\n<li>Click <strong>OK<\/strong>.<\/li>\n<\/ul><div class=\"wp-block-image\"><figure class=\"aligncenter size-large\"><img decoding=\"async\" src=\"https:\/\/www.stellarservertools.com\/blog\/wp-content\/uploads\/2020\/06\/outlook-autoarchive-settings.png\" alt=\"Outlook AutoArchive Settings\" class=\"wp-image-1616\"\/> <figcaption>Figure 4 &#8211; Outlook AutoArchive Settings<\/figcaption> <\/figure><\/div>\n<p><span style=\"padding: 5px; font-size: 13px; background-color: #f3f3f3;\"><strong><em>Note:<\/em><\/strong><em> If your mail profile is connected to an Exchange Server, \u2018Archive\u2019 and \u2018AutoArchive\u2019 options might not be available in the profile. Also, check if your organization has a mail retention policy, as it can override \u2018AutoArchive\u2019. Contact your system administrator for more information. <\/em><\/p>\n <strong><u>Method 3 \u2013 Split Outlook Data File<\/u><\/strong> \n<p>If you&#8217;re using multiple large-sized Outlook data files, then the above methods might not be efficient in reducing the file size. In that case, use a professional tool that allows splitting of large-sized, multiple Offline data files into smaller and manageable files. For more information, refer to this link.<\/p>\n<p><strong>What If Outlook Data File Has Turned Corrupt?<\/strong><\/p>\n<p>As discussed above, the growing size of the Outlook Offline Data File (.ost) or Personal Storage File (.pst) can turn the file corrupt. Fortunately, Outlook provides a built-in repair utility called the \u2018Inbox Repair Tool\u2019 or Scanpst.exe to deal with the OST\/PST corruption issues.<\/p>\n<p>In case, you have a corrupt OST file and you are unable to resolve it, try to re-create the .ost file. After all, an OST file is the exact replica of your Exchange mailbox. Therefore, you don\u2019t require backup to restore PST, just recreating the OST file can resolve the problem.<\/p>\n<strong><u>Steps to Re-create an Offline Outlook Data File (.ost)<\/u><\/strong> \n<p><strong><em>Note:<\/em><\/strong><em> These steps will work only if you can connect to an Exchange email account. <\/em><\/p>\n<p>Delete the OST file and it will get re-created the next time you will open Outlook. To re-create the file manually, follow these steps:<\/p>\n<p><strong>Step 1:<\/strong> Close Outlook. Open <strong>Control Panel<\/strong>, and <strong>Mail <\/strong>icon.<\/p>\n<p><strong>Step 2: <\/strong>In the <strong>Mail Setup <\/strong>dialog box, click <strong>Show Profiles<\/strong> option.<\/p>\n<div class=\"wp-block-image\"><figure class=\"aligncenter size-large\"><img decoding=\"async\" src=\"https:\/\/www.stellarservertools.com\/blog\/wp-content\/uploads\/2020\/06\/outlook-mail-setup-window.png\" alt=\"Outlook Mail Setup Window\" class=\"wp-image-1616\"\/> <figcaption>Figure 5 &#8211; Outlook Mail Setup Window<\/figcaption> <\/figure><\/div>\n<p><strong>Step 3:<\/strong> In the window that appears, choose the profile name you want to recreate, and then select <strong>Properties<\/strong>.<\/p>\n<p><strong>Step 4: <\/strong>In the <strong>Account Settings <\/strong>box, select an Exchange account from the <strong>E-mail <\/strong>tab, and then click <strong>Change<\/strong>.<\/p><div class=\"wp-block-image\"><figure class=\"aligncenter size-large\"><img decoding=\"async\" src=\"https:\/\/www.stellarservertools.com\/blog\/wp-content\/uploads\/2020\/06\/Outlook-Microsoft-Exchange-Account-Settings.png\" alt=\"Outlook Microsoft Exchange Account Settings\" class=\"wp-image-1616\"\/> <figcaption>Figure 6 &#8211; Outlook Microsoft Exchange Account Settings<\/figcaption> <\/figure><\/div>\n<p><strong>Step 5:<\/strong> Uncheck the <strong>Use Cached Exchange Mode<\/strong> checkbox, and then select <strong>More Settings<\/strong>.<\/p><div class=\"wp-block-image\"><figure class=\"aligncenter size-large\"><img decoding=\"async\" src=\"https:\/\/www.stellarservertools.com\/blog\/wp-content\/uploads\/2020\/06\/change-account-window.png\" alt=\"Change Account Window\" class=\"wp-image-1616\"\/> <figcaption>Figure 7 &#8211; Change Account Window<\/figcaption> <\/figure><\/div>\n<p><strong>Step 6:<\/strong> Now, select the <strong>Advanced<\/strong> tab and click <strong>Offline Folder File Settings<\/strong>.<\/p> <div class=\"wp-block-image\"><figure class=\"aligncenter size-large\"><img decoding=\"async\" src=\"https:\/\/www.stellarservertools.com\/blog\/wp-content\/uploads\/2020\/06\/Outlook-Cached-Exchange-Mode-Advanced-Settings.png\" alt=\"Outlook Cached Exchange Mode Advanced Settings\" class=\"wp-image-1616\"\/> <figcaption> Figure 8 &#8211; Outlook Cached Exchange Mode Advanced Settings<\/figcaption> <\/figure><\/div>\n<p><strong>Step 7:<\/strong> Click <strong>Disable Offline Use<\/strong>, and in the dialog box that opens, click \u2018Yes\u2019.<\/p>\n<p><strong><em>Note:<\/em><\/strong><em> Disable Offline Use will only become clickable when the <strong>Use Cached Exchange Mode<\/strong> checkbox is unchecked.<\/em><\/p>\n<p><strong>Step 8:<\/strong> Select <strong>Offline Folder File Settings<\/strong> again, and click <strong>OK<\/strong>.<\/p>\n<p><strong>Step 9: <\/strong>In the dialog box that pops-up, click \u2018<strong>Yes<\/strong>\u2019.<\/p>\n<p><strong>Step 10:<\/strong> Now, select the <strong>Use Cached Exchange Mode<\/strong> checkbox from Cached Exchange Mode Settings, and then click <strong>OK<\/strong>.<\/p>\n<p><strong>Step 11:<\/strong> Click <strong>Next<\/strong> and then <strong>Finish<\/strong>.<\/p>\n<p><strong>Step 12: <\/strong>Close the <strong>Account Settings<\/strong> and <strong>Mail Setup<\/strong> dialog boxes.<\/p>\n<p>Remember, the process to re-create an .ost file will vary based on the Outlook version you\u2019re using.<\/p>\n<strong><u>Steps to Repair Outlook Data File with the help of Scanpst.exe<\/u><\/strong> \n<p>If you cannot re-create your corrupt OST file, try repairing the file by using the \u2018Scanpst.exe\u2019 tool:<\/p>\n<p><strong>Step 1:<\/strong> Exit Outlook.<\/p>\n<p><strong>Step 2:<\/strong> Find <strong>Scanpst.exe<\/strong> on your system.
